Before connecting anything, we define which data enters the workflow, which actions are needed, and where approval is required. Every setup is matched to the business's systems and accounts, so the consultation also checks the specific product, account type, and access available.

When there is no ready-made connector

GIMMI also builds bespoke connections through APIs, Webhooks, CSV files, SFTP transfers, and internal systems. We choose the simplest stable path the system supports, without adding another layer when an existing connection already does the job.

During consultation, we check documentation, permissions, rate limits, data shape, and a safe way to test. If a system does not support a particular action, the workflow is designed around that limit instead of promising a connection that does not exist.

Who controls connections and permissions

The customer connects accounts it owns or is authorized to manage. GIMMI requests only the access required for the agreed work, and the AI employee acts only on approved fields and actions. Approval points, user-level limits, and rules for human handoff can all be defined.

Passwords and sensitive information that the workflow does not need should not be sent in chat. Where possible, we use the system's official authorization path. An authorized administrator can revoke access, at which point the dependent action stops and shows a clear status.

What happens when something fails

A reliable connection must distinguish a new action from a retry, recognize information that was already handled, and leave a trail that can be checked. The design therefore accounts for stable identifiers, duplicate prevention, success and failure states, and retries only where they are safe.

If an external system is unavailable, data is missing, or an action is rejected, the workflow should not pretend the work is complete. It records the state, stops at the right point, and alerts the person responsible for what happens next.

Example: a WhatsApp lead becomes a recorded meeting

  1. A new message arrives in WhatsApp.
  2. The AI employee collects only the required details and checks whether the contact already exists.
  3. The CRM record is created or updated without duplication.
  4. The calendar offers available times under the approved rules.
  5. Once selected, the meeting is saved and the CRM status is updated.
  6. If information is missing or judgment is needed, the conversation reaches a person with the context already collected.
